Q. What are the requirements of becoming a tutor?

  • We require at least a 3.3 Cumulative Undergraduate or Graduate GPA* however we look at your Resume and Transcript to understand your other experiences and the rigor of your coursework
  • We look for individuals who are not only academically strong, but also have Strong Communication Skills to work with students of different levels of understanding
  • We value individuals with strong time management skills and the flexibility to work with different opportunities.
  • We use the True Color Test as a tool to identify your learning style and to match you with students who share similar true colors.
  • In order to work as a tutor you must be a US Citizen or Permanent Resident. Due to Visa restrictions we cannot hire individuals on a F-1 or Student Visa.

Q. What kinds of subjects can I tutor?

  • Depending on the subjects you feel strongest in, you can tutor any class that you have completed and earned at least a B+. For high school mathematics, intro college courses, and standardized test prep we also require a proficiency test to confirm your knowledge of the material.
  • In order to tutor a course you must have completed the course in a previous semester. You can update your profile with new courses as you complete them.
  • We currently offer opportunities for college tutoring in Waco and College Station.

Q. Using the Portal

You can access the portal from http://ubermatch.apollotutors.org Use the portal to access your tutoring profile, schedule sessions, and view your paid and unpaid sessions. The portal is your main interface to access opportunities so it is required to have access to the system to get connected with students.

Q. General Questions

  • Setting Your Password
    • If you run into an issue setting your password, try running the page in Incognito Mode, or use Google Chrome
  • Accessing Portal on Mobile / Browser
    • You can access our website and portal from Google Chrome, Safari, and Firefox, but the site may cause issues on old versions of Internet Explorer
    • The Portal is also mobile compatible on Google Chrome and Safari.
    • If a form looks small, zoom in on your browser

Q. Signing Up

  • We will review your Bio-Sheet and send a Doodle Poll to select an interview slot

Q. Completing your Paperwork

You can complete all of your paperwork on the portal. Once you login you can access your w9, Independent Contractor Agreement, Direct Deposit Form Authorization, and True Color Test Confirmation.

  • W9 Form
    • This form must be signed and uploaded due to IRS regulations. This form is encrypted after you submit it and is only retrieved if we have to file for your IRS Form-1099
  • Contractor Agreement
    • You can e-sign or upload a signed form for your contractor agreement.
  • Direct Deposit Form
    • Enter your Routing Number, Account Number, and the Name that Appears on your Account (not the name of your bank).
  • True Color Test
    • Enter your Top 2 Colors from your True color Test, or upload your test results. We will use this as a part of your profile to work with K-12 Students.

Q. Updating your Profile

  • Entering Subjects
    • We use the subjects you enter to match you with opportunities when a student requests a subject you have on your profile.
    • Update your subjects every semester to ensure your course list is up to date. You can also upload a new transcript to your profile.
    • Select classes you feel comfortable tutoring
      You can select as many classes as you want from any category- (Include all classes from your transcript that you have completed- the more extensive the list, the more opportunities you will be matched with.
    • Certain Courses also require a proficiency test to verify your expertise.
      A proficiency test involves confirming your grade and the date you took certain courses, and some courses also require a online quiz to verify your proficiency.
  • Adding Availability
    • Select the Days and Times that work best for you to schedule tutoring sessions. We use your schedule to notify you about opportunities that fit your profile.
      Include a wide band of times to ensure you get matched with the most opportunities during your availability window
  • Modifying your Schedule
    • You can opt out of tutoring opportunities by marking the day(s) you are unavailable for tutoring sessions. If you have an exam, or a trip or know that you will be unavailable for specific days we will exclude you from matching notifications until you return.
  • Deactivating your profile
    • If you no longer wish to work with Apollo Tutors, let us know at careers@apollotutors.org and we will send an Exit Survey and deactivate your profile

Q. Procedures & communication

  • Every Week you will receive a Tutor newsletter with important updates and announcements about different opportunities and payroll updates
  • The Tutor Newsletter will also state the Tutor of the Month, and referral Opportunities
  • Every month we select a Tutor of the Month based off student feedback, responsiveness to communications, and other factors. The tutor of the month receives a $50 Bonus with their direct deposit

Q. Payroll

  • Direct Deposits are processed every 2 weeks if you have logged hours for that time period
  • You will receive your DD if you have submitted your progress reports and scheduled sessions for that time period
  • We will file a IRS Form 1099 at the end of the Fiscal Year if you qualify for taxes

Q. Getting Matched with Students

  1. We will notify you by email or text when we receive a tutoring opportunity that fits your profile.
  2. To accept an opportunity, Login to the portal and Click the link from the message to match with the student.
  3. You can also match with opportunities on the portal from your home page
  4. The first tutor who responds to the opportunity will be matched with the student.
  5. If you get notified about an Urgent Opportunity, these opportunities are compensated at 1.5x-2x the normal rate for the session.

Q. Getting Matched with Students

  1. After getting matched with a K12 Student, send your intro email from the portal the night you are matched, using the template message and your information. If the form does not submit, you can send your message as an email to the parent and cc info@apollotutors.org.
  2. If you cannot get in touch by email, call the parent, and send a text to get in touch.
  3. Update the match on the portal if you have any trouble getting in touch with the student.

Q. Scheduling / Logging Hours

  1. After getting matched with a K12 Student, send your intro email from the portal the night you are matched, using the template message and your information. If the form does not submit, you can send your message as an email to the parent and cc info@apollotutors.org.
  2. If you cannot get in touch by email, call the parent, and send a text to get in touch.
    Update the match on the portal if you have any trouble getting in touch with the student.

Q. Updating the Match

After getting matched with a student, it is required to schedule a session within 48 hours.

  • If you have not scheduled a session, Update the Match on the portal to show
    • The Student does not want to meet
    • You haven’t heard from the student
    • Your schedule doesn’t match (we will re-match them with another tutor)

Q.Working with College Students

  • College tutoring opportunities take place on-campus. For on campus opportunities, pick a common place to meet such as a coffee shop, library, or study room
  • If a student offers to pay you, do not accept payment directly from the student, after you log your notes it will be recorded for payroll and billing

Q. Working with K-12 Students

  • After getting matched with a K12 Student, send your intro email from the portal the night you are matched, using the template message and your information. If the form does not submit, you can send your message as an email to the parent and cc info@apollotutors.org.
    • K-12 Students also require progress reports every 2 weeks to send an update of the students progress from your sessions.

Q. Working with Community Tutoring Opportunities

  • We offer community tutoring opportunities which take place on-site at campuses including KIPP, Parish Episcopal, and Dallas ISD.
    • These opportunities involve tutoring, as well as mentoring and counseling with students.

Q. Referral Opportunities

  • Tutors
    • If you have any friends / colleagues who are interested in becoming a tutor, use the Referral Form on the Account Info page to send your referral message
    • You will receive a $15 referral bonus for tutor referrals, once they get matched with a student

  • Students
    • If you refer a student, you get priority to work with them, and also receive a $15 referral bonus
    • All student referrals (for different subjects) are an additional $15 per student that you refer.
